A page-by-page proposal for the internal app, its supporting views and the separately scoped extensions.
Each screen has a real low-fidelity layout, named fields/actions, a feature list, role notes and scope boundaries. Three responsive variants and two shared-state sheets supplement the 72 functional views.
These are proposed design units, not a count supplied by the client and not a fixed-price estimate. Related forms, tabs and drawers may be combined during implementation.
Source: Request for Budgetary Proposal: HVAC CRM and Workflow System | BreezeCome Home Services, email dated 14 October 2026, 7-page supplied PDF. Screen notes identify source sections/pages.
Screen structures and supporting controls are design proposals. Optional AI and later installer uploads are kept separate from the core. No third-party access has been verified.
The left side is the app layout. The right side lists the features required on that screen, its user roles, key rules and source. The HTML includes a separate wireframe browser; that browser is not part of the app navigation.
Function or constraint explicitly supported by the client brief.
A supporting field, screen or control inferred for a workable app; subject to approval.
Separately priced AI / advanced automation; never required for core operation.
Installer completion-sheet and photo upload extension; separate scope.
| Role / boundary | Proposed experience | Important restriction |
|---|---|---|
| Sales | Company weekly schedule, customers, contracts, invoices and requested follow-up. | No advertising-lead assignment or auto-created inquiry tasks. |
| Admin | Operational queues, documents, equipment, warranty, stock and service work. | Migration access still requires a separate management grant. |
| Finance / management | Installation-month statements, cost adjustments and lifetime order contribution. | Preserve closed statements; ordinary overhead is excluded. |
| Installer | Very simple phone schedule and assigned-job detail. | Own jobs only; no uploads in the first-release installer view. |
| Migration operator | Separate management-authorized workspace. | Read-only sources; no ordinary CRM navigation entry. |
Navigate by screen ID, the outer browser, linked workflow buttons or previous/next. Search and scope filtering help you review the pack. Form controls/tabs are illustrative; no data is stored and no messages are sent.
No public website, public registration, general customer portal, payment gateway, purchasing system, full accounting replacement, ongoing two-way QuickBooks sync or generic AI chat app. Provider signing is an external journey.
Click a screen name in the HTML or PDF to open it. Screen numbers are stable references for feedback and estimation.

An invoice may be generated from a contract or manually without one (F01–F03). Do not force all contract routes or an invoice-after-installation sequence.
Planned and actual dates are distinct. Reschedule posting needs reconciliation. Historical monthly statements are preserved, while later service changes lifetime contribution.
When subsequent signature completion is recorded/synced, clear both reminders. Enbridge Sustain and Financeit each need a separate feasibility assessment; manual records remain core.
Sources remain unchanged. The import workspace is not in ordinary CRM navigation. No ongoing two-way QuickBooks synchronization is included.

p.1 · §1
L01–L03; S04–S06; A05
Automatic source-preserving imports, retained prospects and future adapter points. No advertising assignment or new-inquiry to-do automation.
p.2 · §2
S01–S15; E01–E04; F01–F03; V01–V03
Shared weekly schedule, customer-only entry with three save paths, persistent customer/property history, four shortcuts, optional quote step, electronic/paper alternatives and invoices without contracts.
pp.2–3 · §3
D01–D07; I01–I06; E03–E04; A06
Overdue sheets, manual document verification, furnace return confirmation, warranty proof, synced signature reminders and settlement/funds tracking. Opening stock, purchase/count adjustments and dated deductions.
p.3 · §4
R01–R04; S06–S07; F05; F08; A02
Repair work, costs, remarks and evidence stay linked to original customer/property/order/equipment. Role-specific access. Costs years later affect the original order.
p.3 · §5
M01–M02 core; M03–M04 later
Own schedule, installation dates/times and assigned tasks in core. Completion sheets and finished photos are separately scoped later uploads into the existing verification workflow.
pp.3–4 · §6
F04–F08; R04; E04; A03
Actual installation-month/salesperson reporting, itemized commercial/cost fields, fixed company rules, reasoned expense adjustments, preserved closes and later incurred-month history.
p.4 · §7
H01–H05; A01–A02; A07
Authorized bulk migration and duplicate verification. Preserve read-only sources/provenance; retain all named historical entities. Keep the workspace out of ordinary CRM navigation.
pp.4–5 · optional scope
X01–X06
Document recognition/review, daily supported warranty registration, provider automation with human takeover and historical batch preparation. Separate feasibility, access and usage cost decisions.
Proposed acceptance walkthroughs to validate the scope; not a substitute for implementation test cases.
S05 saves without products, property, date or order; each of the three save actions follows the correct path.
S05 → S12 starts a contract without requiring a quotation. Generated quotations still retain history.
S12 → S13 records sent only on success; a completed signature archives once and updates/flags the schedule.
S14 chooses new/existing customer before upload; S15 requires review and enters the same installation process.
F02 manual route creates/sends a Paid or Unpaid invoice without forcing a contract.
L01/L02 keep the non-purchasing prospect and source; no lead owner or automatic sales task is created.
S02/A06/I06 reconcile a posted stock event on reschedule/cancel without duplicate deduction or erased history.
D02 captures actual installation; F04 groups by actual month while I06 retains the scheduled stock event.
D04 marks Returned only after link + confirmation. D06 supports manufacturer-site registration with uploaded proof.
E02/E03 keep initial and subsequent signatures distinct. Sent-but-unsigned queues clear together on completion.
E04 does not infer funds received from a settled/approved provider status; amount and evidence are recorded separately.
R04/F08 show a 2026 service entry against the original 2024 order; F05 changes lifetime contribution but F07 preserves the close.
H01 authorization limits scope; H03/H04 verify duplicates and links; H05 reconciles results without writing to QuickBooks/source files.
M01/M02 expose only own assignments. M03/M04 do not appear until the separate later phase is enabled.
Disable all X views. Manual contract entry, document verification, warranty proof, reminders, inventory and profit calculations still work.
UX01/UX02 cover failed uploads, stale edits and retry; A02 restrictions also apply to direct URLs, documents and export endpoints.
The brief leaves user/document volumes, detailed financial rules and go-live timing open (p.5). These decisions can materially change implementation effort. The pack proposes a complete reviewable app scope, not a fixed implementation promise.
Confirm user counts by role, cross-salesperson record visibility, financial field access, and who can change/install availability or make migration grants.
Confirm crews versus individual installers, durations, holds, unassigned jobs, cancellation/reschedule rules and the company time zone.
Supply the fixed formulas, sale/settlement revenue selection, product-cost method, extra-charge treatment, correction policy and service income confirmation rules.
Confirm numbering, taxes/currency, company versus individual fields, deposits/partial payments, credit/correction needs and exact contract/template content.
Assess Enbridge Sustain and Financeit separately: permissions, required fields, status vocabulary, supported actions, fees and manual workflow. No access is assumed.
Identify the exact lead products/forms/accounts, mapping/source fields, chosen signing/email tools, delivery evidence and applicable usage limits.
Confirm opening quantities, model/serial rules, stock-posting timing/corrections and eligible manufacturers. Multiple warehouses or procurement flows are not assumed.
Confirm QuickBooks edition, entities/date scope, data quality, source-file volumes, duplicate policy, historical finance treatment and management authorization.
Confirm repair status vocabulary, role editing/confirmation rights and whether the proposed submission-feedback view is wanted in the later installer upload package.
Discovery, backend data relationships, transaction safety, security testing, migration reconciliation, backups/restores, hosting, training, export and launch support must still be scoped.
